Employees & departments

Add or import staff, set pay & tax details, assign line managers, and organize departments.

Adding an employee

  1. Go to Employees → Add.
  2. Fill in the basics: name, phone (their login), network (GLOBE / SMART / DITO / SUN / TNT), email, position, and department.
  3. Pick a role: Employee, Manager, or Admin.
  4. Optionally assign a schedule so attendance tracking starts right away.

The employee number is auto-generated from your organization's initials (e.g. CF-0009), or you can type your own.

Pay & tax fields

  • Pay basis — Monthly (full base per month), Semi-monthly / kinsenas (half per cutoff), or Per-hour (paid by hours worked, or approved paid-hours adjustments).
  • Pay grade or custom amount — where the base salary comes from; per-hour staff get an hourly rate instead.
  • Tax treatment — Graduated (BIR table), a flat percentage (e.g. 8% for consultants), or Tax-exempt.

Line managers

The line manager approves the person's applications. Only admins and managers can be picked as a line manager — the dropdown already filters this for you.

Bulk import (CSV)

  1. Click Import → Download template. The template lists your exact department names, schedule names, and eligible line managers — copy-paste those values instead of typing them.
  2. Fill one row per person. Only name, phone, department, and position are required. Optional carrier is GLOBE / SMART / DITO / SUN / TNT (used when texting). Each imported employee is texted a generated password (and emailed it too, if you include an email).
  3. Upload the file. Valid rows are created; bad rows are skipped with a clear reason so you can fix and re-upload just those.

Departments

Manage them under Departments: add, rename, or deactivate. Every list, report, and payroll grouping uses these — an employee should always belong to one.

Company IDs

Admins generate a printable company ID under People → Company IDs. The card is portrait (2.125″ × 3.375″) and downloads as a PNG.

  1. Choose Select existing to pick someone from the directory (name, employee number, position, and department fill in), or Manual entry if they are not in the system yet — that does not create an employee record.
  2. Upload a 2×2 photo (at least 400×400 px) and a signature image.
  3. Use the default branded layout, or a custom background uploaded from the Templates button (download the slot guide so photo and text still fit).
  4. Preview, then Generate ID. Download the PNG from the list any time.
